Privacy Policy

Outlook Universal Aerial Services, LLC ("Outlook UAS," "we," "us," "our") operates this website and provides aerial mapping and UAS program services across the Mountain West. This policy explains what information we collect through the site, how we use it, who we share it with, and the choices and rights you have.

The short version. We collect only what your inquiry, quote, or project needs. We use it to provide our services and, if you've shared your email with us, to send occasional updates you can unsubscribe from at any time. We use Google Analytics only after you agree to it. We do not sell or share your personal information.

What we collect

  • Quote & contact requests. When you request a quote or contact us we collect what you submit: name, company, email, phone, project notes, the site address or location you provide, and any boundary you draw on the map (an approximate site outline and its acreage).
  • Client portal account. If a project moves forward, we create a portal account and store your name, email, company, phone, and the project files, deliverables, messages, and billing status associated with your work. You can sign in with an email and password or with Google Sign-In; if you use Google, Google authenticates you and shares your name and email address with us, and we never see your Google password.
  • Client project files & confidential information. Project uploads, deliverables, and portal messages can include your business's confidential information, such as site data, drawings, quantities, and the details on invoices. We treat that material as confidential, use it only to deliver your engagement, and isolate it to your account.
  • Billing information. Billing contact, purchase-order number, and invoice and payment status. Card details go directly to our payment processor (Stripe) and never touch our systems.
  • Email correspondence. If you email us or message us through the portal, we keep the correspondence as part of ordinary business records.
  • Analytics data. If you agree to analytics, Google Analytics collects standard usage data such as pages viewed, approximate location (from IP, which Google truncates), device and browser type, and how you reached the site. See Analytics & cookies.
  • Basic technical data. Our hosting provider may log standard request data (IP address, browser type, pages requested) for security and reliability, independent of analytics.

We collect only what an inquiry, quote, or active project requires. We don't ask for sensitive personal information (such as government IDs, financial account numbers, health, or biometric data), and please don't include any in free-text fields.

How we use it

  • To prepare and deliver the quote you asked for, and to communicate about your project.
  • To set up and operate your client portal, deliver files, exchange messages, and handle invoicing when a project moves forward.
  • To send you service messages (for example, quote replies, project updates, invoices, and account notices).
  • With your email and consent where required, to send occasional company news and marketing you can unsubscribe from at any time. See Email & marketing.
  • To run, secure, maintain, and improve the website, including analytics, but only if you agree to it.
  • To meet our legal, tax, and contractual obligations, and to establish or defend legal claims.

We rely on the following bases, depending on the situation: performing a contract or taking steps you request (quotes, projects, portal), your consent (analytics and marketing email), and our legitimate interest in running and securing our business. We do not use your information to make decisions that produce legal or similarly significant effects about you automatically, and we do not engage in "profiling" in furtherance of such decisions.

Analytics & cookies

We use strictly necessary storage to run the site and your client portal: for example, keeping you signed in, remembering your session, and remembering your cookie choice. These are always on because the site can't work without them.

We also use Google Analytics 4 to understand how the site is used so we can improve it. Analytics runs only after you agree. When you first visit, analytics is turned off by default; a banner lets you Accept, choose Necessary only, or open Cookie settings. We implement Google Consent Mode so that, until you opt in, analytics storage stays denied. You can change your choice at any time using the "Cookie settings" link in the footer of every page.

We honor browser-based opt-out signals, including Global Privacy Control (GPC) and Do Not Track: if we detect one, we treat it as a request not to enable analytics and do not turn it on unless you later opt in yourself.

Email & marketing

We send two kinds of email:

  • Service email: replies to your inquiries, quotes, project updates, invoices, and account notices. These relate to your request or project and are part of the service.
  • Marketing email: occasional company news, offers, and educational content. We send these using our own email; we do not sell, rent, or share your address with third parties for their marketing. Every marketing email includes a way to unsubscribe, and we honor opt-outs promptly. You can also unsubscribe any time by emailing contact@outlookuas.com. Unsubscribing from marketing does not stop service email about an active project.

We do not sell or share your data

We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (CCPA/CPRA) and the Colorado Privacy Act (CPA). We have not sold or shared personal information in the preceding 12 months, and we do not process it for targeted advertising. Because we don't sell or share, there is no such activity for you to opt out of, but you can still exercise the other rights described below.

Service providers

We share information only with the providers that help us operate the site and deliver our service, and only as needed for that purpose. These providers act on our behalf under agreements that limit their use of the information:

  • Form delivery. Quote and contact submissions are relayed to our inbox at contact@outlookuas.com by Web3Forms, a form-delivery provider acting on our behalf; the submission contents pass through its service solely for delivery to us.
  • Hosting & client portal. The website and portal run on Google Firebase / Google Cloud (Google LLC): website hosting, portal sign-in through Firebase Authentication (including optional Google Sign-In), project data and files in Cloud Firestore and Cloud Storage held in United States data centers, and the server functions that generate invoices, short-lived download links, and service email. Server-enforced access rules isolate each client account to its own workspace.
  • Payments. Invoice payments are processed by Stripe, Inc. When you pay, you are taken to Stripe's secure checkout; your card details go to Stripe directly, and we receive the payment status and confirmation, never your card number.
  • Email delivery. Service email (quote replies, account setup, portal notices, invoices, receipts) is sent through our email delivery providers acting on our behalf.
  • Analytics. Google Analytics 4 (Google LLC) processes usage data, but only after you opt in.
  • Maps & geocoding. The quote map loads satellite imagery from Esri and looks up addresses via OpenStreetMap's Nominatim service; your map interactions involve requests to those services under their own terms.
  • Fonts & libraries. Typefaces load from Google Fonts, and some portal tools load mapping and viewing libraries from content-delivery networks (Cloudflare cdnjs and unpkg); these services receive standard request data, such as your IP address, when the files load.

We may also disclose information if required by law, to enforce our agreements, to protect the rights, safety, or property of Outlook UAS or others, or in connection with a business transfer.

Retention

Inquiry & quote data. If a quote doesn't become a project, we keep the request only as long as needed to respond and follow up, then delete or archive it.

Client project data. For delivered projects we retain your project records and data for the life of the project, so we can honor our Lifetime Data Support commitment. You can ask us to delete or return this data, subject to any records we're required to keep for legal or contractual reasons.

Payment records. Payment records are retained by Stripe under its own policy and in our accounting records for as long as tax and accounting law requires.

Analytics data. Analytics data is retained per our Google Analytics configuration; you can withdraw analytics consent at any time, which stops future collection.

Security

We use reasonable administrative and technical measures to protect the information we hold, and we limit access to those who need it to do their job. No method of transmission or storage is perfectly secure, but we work to keep your information safe.

For the client portal specifically: every connection is encrypted in transit (TLS); each client account is isolated to its own workspace by server-enforced access rules; portal sign-in is session-scoped, so tokens clear when you close your browser; your project data lives on our servers rather than being stored on your device; file downloads use short-lived signed links; and portal actions are rate-limited to deter abuse.

Your privacy rights

Depending on where you live, you may have rights under laws such as the CCPA/CPRA (California) and the Colorado Privacy Act. Regardless of where you live, we will honor the following requests to the extent they apply:

  • Know / access. Request the categories and specific pieces of personal information we hold about you and how we use it.
  • Correct. Ask us to fix inaccurate personal information.
  • Delete. Ask us to delete personal information we hold about you.
  • Portability. Request a copy of certain information in a portable format.
  • Opt out of sale / sharing / targeted advertising. We don't do any of these, so there is nothing to opt out of; if that ever changes we will provide a clear opt-out first.
  • Non-discrimination. We won't deny service, charge a different price, or provide a different quality of service because you exercised a right.

How to make a request. Email contact@outlookuas.com or call 303-547-8080. We'll acknowledge and respond within the timeframes the applicable law requires (generally 45 days, extendable with notice). We may need to verify your identity before acting, and an authorized agent may submit a request on your behalf with proof of authorization.

Colorado appeals. If you're a Colorado resident and we decline your request, you may appeal by replying to our decision or emailing contact@outlookuas.com with "Appeal" in the subject line. If you have concerns about the outcome, you may contact the Colorado Attorney General.

Children

This site and our services are intended for businesses and professionals, not for children, and we don't knowingly collect information from anyone under 18. If you believe a child provided us information, contact us and we'll delete it.

Changes

If we change this policy, we'll update this page and its effective date. Material changes to how we use your information will be reflected here before they take effect.
